Overview

This application is an internal financial and project management tool operated by ECO One Unlimited LLC (“we,” “us”) for our mechanical, electrical, and plumbing contracting business. It is used by a limited number of authorized staff. This policy explains what information the application collects, how we use it, how we protect it, and the choices available to you.

Information we collect

  • Project and financial records you enter — orders, quotes, invoices, expenses, and related documents.
  • Bank account and transaction data imported from your financial institution through Plaid (see “Connecting your bank via Plaid” below).
  • Account and access information — the login credentials and multi-factor authentication used to access the application.
  • Activity logs — audit records of sensitive actions taken within the application.

How we use information

We use this information solely to operate the business: recording and reconciling costs, managing budgets, generating invoices and lien releases, and tracking project progress. We do not sell or rent your information, and we do not use it for advertising.

Connecting your bank via Plaid

To import bank transactions automatically, the application connects to your financial institution using Plaid Inc. When you connect an account, you authenticate directly through Plaid; we do not receive or store your online banking username or password. Plaid provides us with transaction and account information, and an access credential that lets the application retrieve new transactions on your behalf. Plaid’s handling of your data is governed by the Plaid End User Privacy Policy. You can disconnect a linked account at any time, which stops further transaction imports.

How we protect information

We apply reasonable safeguards appropriate to our size and the sensitivity of the data, including: encryption of data in transit using TLS; encryption of sensitive credentials (such as the Plaid access token) at rest; role-based access controls and multi-factor authentication for all application access; a database that is not publicly exposed; and audit logging of sensitive actions. No method of storage or transmission is completely secure, and we continue to improve our safeguards over time.

Sharing and disclosure

We share information only with service providers that help us operate the application (for example, Plaid for bank connectivity and our hosting provider), and only as needed to provide the service. We may also disclose information if required by law. We do not sell your information.

Data retention and disposal

Imported bank transactions that have not been reconciled to a financial record are retained only as long as needed for reconciliation, and are permanently deleted — automatically — when the associated bank connection is disconnected, along with the stored access credential. Reconciled financial records (invoices, expenses, payments, and matched transactions) are retained for as long as required by business, accounting, tax, and legal obligations, then disposed of. You may disconnect a linked account at any time, or contact us to request deletion, subject to those retention obligations. This retention and disposal policy is reviewed at least annually.

Your choices

You can disconnect any linked bank account at any time from within the application, which revokes our access and stops further transaction imports. For any questions about your data, contact us using the details below.
